Overview

Branch Management allows multi-location healthcare organisations to operate multiple facilities under a single Bio Ecko account. Each branch has its own staff, schedules, inventory, and billing while sharing a common patient database and organisational policies.

Adding a Branch

Navigate to Admin > Branches > Add Branch:

  1. Enter branch name, code, and type (Main Hospital, Satellite Clinic, Diagnostic Centre, Pharmacy Outlet).
  2. Add the branch address and contact details.
  3. Upload a branch-specific logo (optional -- defaults to the organisation logo).
  4. Set the operating hours for this branch.
  5. Configure branch-specific settings: Appointment slot duration, patient ID prefix, bill number series.
  6. Assign a Branch Administrator who manages day-to-day operations.

Branch-Level Controls

Each branch can independently configure:

  • Departments and services offered (a satellite clinic may only offer OPD, not IPD).
  • Fee schedules (different pricing for different locations).
  • Staff assignments (doctors and staff can be assigned to one or multiple branches).
  • Inventory and procurement (each branch has its own store with independent stock levels).
  • Billing series (separate bill number sequences per branch for accounting).

Cross-Branch Features

Shared capabilities across branches:

  • Unified patient records: A patient registered at one branch is accessible at all branches.
  • Cross-branch referrals: Refer patients from a clinic to the main hospital seamlessly.
  • Cross-branch appointments: Patients can book at any branch; doctors can view their schedule across branches.
  • Consolidated reporting: Organisation-level dashboards aggregate data from all branches.
  • Centralised procurement: The head office can manage purchase orders for all branches.

For Single-Location Facilities

Solo doctors and single-location clinics operate with one default branch (Main). You do not need to configure anything in Branch Management unless you expand to additional locations in the future. The system automatically creates your primary branch during initial setup.

Notes

Info

Each branch gets its own unique branch code (e.g., MUM-01, DEL-02). This code is used in patient IDs, bill numbers, and reports for branch identification.

Clinic tip

If you open a second clinic location, simply add it as a new branch. Your existing patient records, templates, and fee schedules can be cloned to the new branch.
