Overview

Billing Estimates (proforma invoices) provide patients with an expected cost breakdown before admission or a planned procedure. They help set financial expectations and are often required by insurance companies for pre-authorization.

Creating an Estimate

Navigate to Billing > Estimates > New Estimate:

  1. Enter patient details (or select existing patient).
  2. Select the planned procedure or admission type.
  3. Add estimated line items: room charges (by days), surgeon fee, anaesthetist fee, consumables, pharmacy, lab, radiology.
  4. System calculates subtotal, applicable taxes, and total estimate.
  5. Add notes or terms for the patient.
  6. Generate PDF to share via print, email, or WhatsApp.

Estimate to Bill Conversion

When the patient is admitted:

  • Convert the estimate to an actual bill with one click.
  • Line items carry over to the bill.
  • Track estimate accuracy: compare estimated vs. actual costs post-discharge.
  • Variance report helps improve future estimate accuracy.

Notes

Tip

Always provide written estimates for planned procedures. It reduces billing disputes and meets consumer protection requirements.
