What this mode is for
Solo Doctor and Small Clinic mode is the recommended BioEcko operating setup for outpatient clinics that do not need the full hospital ERP on day one. It keeps the daily workflow focused on patient registration, appointments, reception check-in, the OPD queue, consultation handoff, billing drafts, basic reports, and patient portal basics.
Use this guide with Quick Start Guide, Clinic Mode, Front Desk Hub, Doctor Hub, and Accountant Hub.
Packages and activation
BioEcko currently exposes three small-clinic package shapes:
| Package | Best for | Included workflow | Public limits |
|---|---|---|---|
| Solo Doctor Free Trial | One doctor evaluating BioEcko | Patients, appointments, reception check-in, OPD shell, status-only clinical shell, billing draft, patient portal basics, basic reports | 14 days, 1 doctor, 2 staff users, 1 branch, 500 appointments/month, 200 billing drafts/month, limited trial patient volume |
| Solo Doctor Starter | One doctor moving from trial to active clinic use | Same core workflow with higher operating limits after BioEcko activation | 1 doctor, up to 4 staff users, 1 branch; patient and monthly limits confirmed during activation |
| Small Clinic Starter | A small OPD clinic with multiple doctors and staff | Patients, appointments, reception check-in, queue, OPD shell, billing draft, patient portal basics, reports; lab/radiology/pharmacy can be used for training or activated scope | Multiple doctors and staff, 1 branch initially; limits confirmed during activation |
Some actions require BioEcko activation before they are available in a live clinic, including full clinical documentation writes, diagnosis/prescription/order writes, online payment collection, ledger posting, file-vault documents, live inventory, IPD, and advanced hospital modules.
Default roles
A small clinic usually starts with three roles:
- Doctor - Reviews appointments and queue status, opens the OPD queue, updates status-only encounter work, and views billing draft context where enabled.
- Receptionist - Registers patients, creates appointments, checks patients in, and hands them to the OPD queue.
- Billing/Admin - Maintains clinic setup metadata, reviews billing drafts, and checks basic reports. Payment collection, receipt issue, refunds, ledger posting, and claims require BioEcko activation.
One person can hold more than one operational responsibility in a solo practice. For example, the doctor may also register walk-ins, or the receptionist may also prepare draft billing, depending on permissions granted by the admin.
Initial clinic setup
Start in the admin area:
- Open Clinic Mode at
/app/admin/clinic-modeand select Solo Practice or Small Clinic as the operating mode. - Open organization settings and complete the Solo doctor essentials checklist: clinic profile, branch, doctor profile, registration placeholder, logo, consultation fee, GST details if applicable, patient ID format, and prescription header.
- Add receptionist and billing/admin users only after their responsibilities are clear.
- Configure working hours and appointment types so the front desk can create the day's schedule.
- Review billing draft settings before using billing in front of patients.
- Confirm which advanced workflows require BioEcko activation before promising them to staff or patients.
Daily operating flow
A normal OPD day should follow this sequence:
- Reception opens Front Desk Hub or Appointments to review today's schedule.
- For a new visitor, reception opens Patient Registration or the Register Patient quick action.
- Reception creates an appointment or checks in a walk-in from
/app/clinical/opd/front-desk. - The doctor opens Doctor Hub and uses the OPD queue action at
/app/clinical/opd/queue. - The consultation is handled in the activated OPD scope for that clinic. Status-only OPD work is available in the small-clinic shell; full clinical notes, diagnosis, prescription, and order writes require BioEcko activation.
- Billing/Admin opens Billing or Creating Bills to review or create a billing draft. Live payment collection and receipts require BioEcko activation.
- Admin or owner reviews dashboard metrics and basic reports at the end of the day.
One-doctor clinics move from front-desk registration to OPD queue and billing draft review.
Admin confirms Clinic Mode, doctor profile, working hours, roles, consultation fee, and patient ID format.
Reception uses patient search, full registration, or quick registration.
The patient is booked or added as a walk-in and handed to the OPD queue.
Doctor opens Doctor Hub and starts from the OPD queue.
Status-only or activated clinical workflow is completed.
Billing/Admin reviews draft charges and keeps payment handling aligned with activation.
What staff should not assume
Small-clinic mode does not mean every hospital module is active. By default, do not assume live online payments, ledger posting, file-vault uploads, IPD, live inventory, advanced lab/radiology/pharmacy operations, or unrestricted clinical documentation writes are enabled. If a screen shows a restricted, review, draft, or activation message, treat it as an activation-required workflow and confirm activation with BioEcko before using it as a live patient process.
Small-clinic screens stay public-safe by separating enabled shell workflows from sensitive activated writes.
Patients, appointments, reception check-in, OPD queue, billing draft, and basic reports are introduced first.
Doctor, receptionist, and billing/admin users receive only their required permissions.
BioEcko confirms which clinical, payment, file, inventory, and advanced modules are active.
Staff learn the enabled workflow and manual fallback for inactive features.
Sensitive writes and advanced modules are enabled only after activation.
Notes
Clinic tip
For a one-doctor clinic, start with Patient Registration, Appointments, Front Desk Hub, Doctor Hub, and Billing Draft before enabling optional diagnostics or pharmacy workflows.
Info
Use activation wording in staff training: if a feature is not activated for the clinic, document the manual process and do not use the screen as the source of truth for that action.
