Before You Begin

To get started with Bio Ecko, you need:

  • A modern web browser (Chrome 90+, Firefox 88+, Safari 14+, or Edge 90+)
  • An active internet connection
  • Your clinic details: name, address, phone number, and registration number
  • Your medical license/registration details (for doctor profiles)

Step 1: Create Your Account

Visit the Bio Ecko signup page and register with your email address. You will receive a verification email -- click the link to confirm your account.

After verification, you will be prompted to set up your organization. This is your clinic's digital identity in the system.

Step 2: Set Up Your Organization

During onboarding, configure the clinic identity that appears across the ERP:

  • Organization name -- Your clinic or hospital name as it appears on letterheads and bills
  • Organization type -- Select Solo Practice or Small Clinic for outpatient-first setup
  • Main branch -- Your primary location with address, phone number, and operating hours
  • Doctor profile -- Name, specialization, medical registration number, and consultation fee
  • Patient ID and prescription header settings -- Confirm the format before using the workspace with patients

You can review clinic operating mode later from Clinic Mode at /app/admin/clinic-mode.

Step 3: Configure Departments (Optional)

If your clinic has multiple departments (e.g., General Medicine, Pediatrics, Dermatology), create them under Settings > Departments & Wards. For a solo practice, a single 'General' or specialty-specific department is sufficient.

Each department can have its own consultation fee, operating hours, and assigned doctors.

Step 4: Add Your Team (Optional)

If you have staff members, invite them only after their responsibilities are clear:

  • Doctor -- Reviews OPD queue, follow-ups, pending reports, and activated consultation actions
  • Receptionist -- Registers patients, creates appointments, checks patients in, and hands them to OPD
  • Billing/Admin -- Reviews billing drafts, clinic setup metadata, and basic reports
  • Nurse, pharmacist, lab, or radiology roles -- Add when those workflows are part of the activated clinic scope

For the first setup pass, most solo practices only need Doctor plus optional Receptionist and Billing/Admin users.

Step 5: Register Your First Patient

Navigate to Patients > Register Patient. Enter the patient's basic details:

  • Full name, age/date of birth, and gender
  • Phone number (used as the primary identifier)
  • Address (optional but helpful for home visits)
  • Aadhaar or ABHA number (optional, for digital health records)

The system assigns a unique Patient ID (e.g., PT-2026-0001) automatically.

Step 6: Book an Appointment

Go to Appointments and click 'New Appointment'. Select the patient, choose the doctor and department, pick a date and time slot, and confirm. The system generates a token number for the queue.

Walk-in patients can be registered directly from the OPD Front Desk without a prior appointment.

Step 7: Conduct a Consultation

When the patient arrives, open the OPD queue from Doctor Hub or OPD Visits. The current small-clinic workflow supports queue review, patient handoff, follow-up context, pending report context, and status-only encounter work.

Full clinical notes, diagnosis writes, prescription writes, clinical order writes, and live diagnostic handoffs require BioEcko activation for the clinic. If these actions are not activated, continue the clinical documentation process outside BioEcko and use the ERP only for the enabled status and administrative workflow.

Step 8: Generate a Bill

After the consultation, open Billing or Creating Bills and prepare a billing draft. The draft can include consultation fees and activated service items.

Live payment collection, receipt issue, refunds, claims, and ledger posting require BioEcko activation. Until then, collect payments through the clinic's existing manual process and keep BioEcko billing entries as draft or review records.

For a one-doctor clinic, use Solo Doctor & Small Clinic as the day-one manual. It links the exact pages a small clinic needs: Clinic Mode, Patient Registration, Appointments, Front Desk Hub, Doctor Hub, Accountant Hub, OPD Visits, and Billing Draft.

Tip

Use the keyboard shortcut Ctrl+K (or Cmd+K on Mac) from anywhere in the app to quickly search for patients, appointments, or navigate to any module.

Clinic tip

For a solo practice, finish clinic identity, working hours, roles, and billing draft review before using the workspace with patients.
