Overview

Organization Setup is the foundational configuration step in Bio Ecko. It defines your healthcare facility's identity, legal details, and operational parameters that flow into every module -- from printed prescriptions to billing headers and regulatory reports.

Organization Profile

Navigate to Admin > Organization > Profile to configure:

  • Legal name, trade name, and registration number.
  • Facility type: Solo Practice, Clinic, Polyclinic, Nursing Home, Hospital, Hospital Chain.
  • Address, city, state, PIN code (used for GST and regulatory compliance).
  • Contact details: Phone, email, website.
  • Logo upload: Used on letterheads, prescriptions, bills, and the patient portal.
  • Registration numbers: Clinical Establishment Act registration, NABH/NABL accreditation number, AERB licence (if applicable).

Tax & Financial Settings

Configure financial parameters:

  • GST registration: GSTIN, HSN/SAC codes for services, tax rates per service category.
  • PAN and TAN for TDS compliance.
  • Financial year start month.
  • Currency and number formatting (Indian numbering system with lakhs and crores).
  • Default payment terms for corporate and insurance billing.
  • Bank account details for payment receipts and UPI configuration.

Operational Settings

Set facility-wide defaults:

  • Operating hours: Daily schedule with lunch break and half-day configurations.
  • Appointment slot duration: Default consultation length per department.
  • Patient ID format: Auto-generated with configurable prefix and sequence (e.g., BIO-2026-00001).
  • Bill number format: Prefix, sequence, and financial year suffix.
  • Prescription header and footer text.
  • Default language for patient-facing documents (English, Hindi, regional languages).

Branding & Letterhead

Customise your facility's branding:

  • Upload logo (used across all printed documents and the patient portal).
  • Configure letterhead layout: Logo position, facility name font, address layout.
  • Add speciality registrations of doctors in the header/footer.
  • Customise prescription footer with pharmacy address, follow-up instructions, or disclaimers.
  • Preview all document templates with your branding before going live.

For Solo Doctors

Solo practitioners should complete these essentials:

  1. Facility name and your medical registration number.
  2. Logo (even a simple text logo works).
  3. Consultation fee and GST settings (if applicable).
  4. Patient ID format.
  5. Prescription header with your qualifications and registration number.

Everything else can be configured later as needed.

Tip

Complete the organization setup before inviting staff or seeing patients. Your facility details appear on every document the system generates.

Solo doctors: The setup wizard covers all essentials in under 5 minutes. You can skip advanced settings like GST and multi-branch configuration.
