Overview

Bills and billing drafts are created from the Billing page after registration, appointment, or OPD work. In Solo Doctor & Small Clinic, use this page as a billing draft manual unless live billing is activated.

Creating a Billing Draft

Go to Billing and create a new billing draft:

  1. Select the patient.
  2. Add consultation fee or activated service items.
  3. Review subtotal, tax applicability, and discount policy.
  4. Save the draft for review.
  5. Complete payment and receipt handling through the clinic's manual process unless BioEcko payment workflows are activated.

A draft should not be treated as a completed payment or posted ledger transaction.

Auto-generated or OPD-linked drafts

Where enabled, OPD work can create or suggest a billing draft. Review every draft before sharing it with the patient. Lab, pharmacy, radiology, procedure, insurance, and package items should only appear when those workflows are part of the activated clinic scope.

Service Catalog

The Service Catalog (Settings > Service Catalog) defines all billable services with their prices:

  • Consultation fees (first visit, follow-up, specialist)
  • Procedures (ECG, dressing, injection, suturing, etc.)
  • Room charges (for IPD)
  • Package rates (health checkups, surgery packages)

Each service has a code, description, price, GST category, and department assignment.

Discounts

You can apply discounts at the item level or bill level:

  • Percentage discount (e.g., 10% off total)
  • Flat discount (e.g., Rs. 100 off)
  • Staff/employee discount (configured per organization)

Discounts above a threshold (configurable) require admin/owner authorization. All discounts are logged for audit purposes.

Activation boundary

Live payment collection, receipt issue, refunds, ledger posting, claims, payment runs, and audited finance reports require BioEcko activation. If those workflows are not active, keep BioEcko bills in draft/review state and complete the financial transaction through the clinic's existing manual process.

Notes

Clinic tip

For a solo doctor, set up consultation fees first. Add procedure, lab, radiology, and pharmacy items only when those workflows are activated.

Warning

Do not issue receipts or mark a draft as financially settled from BioEcko unless payment workflows are activated.
