Overview
Patient Registration is the first step in the patient journey. Every patient who visits your clinic needs a profile in the system before they can be booked for an appointment or consultation.
The registration form captures demographic information, contact details, and optional medical history. Once registered, the patient gets a unique Patient ID that follows them across all visits, prescriptions, lab orders, and bills.
A single patient record connects registration, appointments, visits, orders, and billing.
Create patient profile, Patient ID, demographics, and contact details.
Appointment, token, doctor, and visit type are assigned.
Vitals, notes, diagnosis, prescriptions, and orders are captured.
Lab and radiology results return to the EMR.
Charges, payments, deposits, and receipts are closed.
History is available for follow-ups and future visits.
Registering a New Patient
Navigate to Patients > Register Patient, or click the 'New Patient' quick action on your dashboard.
Required fields:
- Full name (first name and last name)
- Gender
- Date of birth or age
- Mobile phone number
Optional fields:
- Email address
- Aadhaar number / ABHA ID
- Blood group
- Address (street, city, state, PIN code)
- Emergency contact name and phone
- Insurance / TPA details
- Referring doctor
- Known allergies
- Chronic conditions
Click 'Register' to save. The system assigns a Patient ID automatically (e.g., PT-2026-0001).
Quick Registration
For busy clinics, the Quick Registration option on the OPD Front Desk lets you register a patient with just their name, phone number, and age. All other details can be filled in later.
This is ideal for walk-in patients where you want to minimize wait time at the registration desk.
Searching for Existing Patients
Before registering a new patient, always search the existing database to avoid duplicates. You can search by:
- Patient ID (e.g., PT-2026-0001)
- Phone number (most reliable search method)
- Name (partial matches supported)
- Aadhaar / ABHA number
The search results show matching patients with their last visit date and phone number for quick identification.
Duplicate Detection
Bio Ecko automatically checks for potential duplicates when you register a new patient. If a patient with a matching phone number or similar name already exists, you will see a warning with the option to:
- View the existing patient's profile
- Merge the records if they are the same person
- Proceed with registration if they are different patients (e.g., family members sharing a phone)
Admins can also run a bulk duplicate scan from Patients > Find Duplicates.
Editing Patient Details
To update a patient's profile, search for them in the Patients list and click their name. Click 'Edit' to modify any field. Changes are saved immediately and logged in the audit trail.
Critical fields like Patient ID and registration date cannot be modified after creation.
Notes
Tip
The phone number is the most important field for patient lookup. Train your front desk staff to always verify the phone number first.
Clinic tip
For a solo doctor without a receptionist, use Quick Registration from the OPD Front Desk. You can register and start the consultation in under 30 seconds.
