Overview

The Billing module supports billing review, charge capture, and financial workflows. For Solo Doctor & Small Clinic, the safe starting point is billing draft creation and review. Live payment collection, receipt issue, refunds, claims, and ledger posting require BioEcko activation.

Small-clinic billing draft

A billing draft can be prepared after OPD work to capture the expected consultation fee and activated service items. Billing/Admin users should review the draft, confirm the manual payment process outside BioEcko if live payment is not activated, and keep the draft status aligned with the clinic's operating policy.

Activated billing features

When activated for the clinic or hospital, Billing can support:

  • Invoice generation with itemized charges.
  • Payment methods such as cash, UPI, card, bank transfer, or cheque.
  • Partial payment and balance tracking.
  • Receipt printing or sharing.
  • Daily collection reports.
  • Insurance and TPA billing.
  • GST and HSN configuration.
  • Discount authorization workflows.

Do not use these as live financial workflows until activation is confirmed.

Credit & Debit Notes

Manage billing adjustments with credit and debit notes:

  • Create credit notes for refunds, discounts, or billing corrections.
  • Create debit notes for additional charges or under-billing corrections.
  • Link each note to the original bill with reference number.
  • Approval workflow: Pending > Approved > Applied.
  • Auto-adjust patient balance when notes are approved.
  • GL impact: credit notes reduce revenue, debit notes increase receivables.
  • Reason tracking for audit compliance.

Billing Estimates

Generate pre-admission cost estimates for planned procedures:

  • Create estimates from Billing > Estimates with patient details and planned services.
  • Add line items: room charges, procedure fees, consumables, pharmacy, lab, and doctor fees.
  • System calculates subtotal, tax, and total estimated cost.
  • Share estimate with patient as PDF or WhatsApp.
  • Convert estimate to actual bill upon admission.
  • Track estimate accuracy: compare estimated vs. actual costs post-discharge.

Fee Schedule

Maintain a master catalog of all chargeable services:

  • Navigate to Billing > Fee Schedule to manage the service catalog.
  • Each service has a code, name, department, base price, and GST percentage.
  • Category-based organization: Consultation, Procedure, Lab, Radiology, Room, Package.
  • Support for multiple price lists (General, VIP, Insurance, Corporate).
  • Effective date management for price revisions.
  • Bulk price update: adjust all prices by percentage or fixed amount.
  • Fee schedule linked to billing -- charges auto-populate from the catalog.

Notes

Warning

For small clinics, do not collect payments, issue receipts, refund, or post ledger entries from BioEcko unless those workflows are activated.
