Overview

Billing Reports provide the financial intelligence needed to manage revenue, track collections, identify leakage, and ensure compliance. Reports are available at the hospital, branch, department, and individual operator level.

All reports support date-range filtering, drill-down from summary to individual transactions, and export to Excel/PDF. Scheduled reports can be emailed daily, weekly, or monthly to configured recipients.

Revenue Reports

Daily Revenue Summary -- Total billed amount, collections, outstanding, discounts, and refunds for the day. Breakdowns by department, doctor, and service category.

Revenue by Service -- Which services (consultations, investigations, procedures, pharmacy, room charges) generate the most revenue. Identify high-margin and low-margin services.

Revenue by Doctor -- Per-doctor revenue with patient count, average bill value, and collection ratio. Essential for multi-doctor clinics and revenue-sharing arrangements.

Revenue by Department -- Department-wise contribution to total revenue with month-over-month trends.

Revenue by Payer -- Self-pay vs. insurance vs. corporate vs. government scheme revenue split. Helps optimize payer mix strategy.

Monthly Revenue Trend -- 12-month rolling trend chart with year-over-year comparison. Seasonal patterns become visible for capacity planning.

Collection Reports

Daily Collection Summary -- Cash, UPI, card, cheque, bank transfer, and insurance settlement collections for the day. Reconciles with the bank statement.

Shift-wise Collection -- Per-cashier, per-shift collections with opening/closing drawer balance. Discrepancies are flagged.

Payment Mode Analysis -- Distribution of collections across payment modes over time. Track the shift from cash to digital payments.

Outstanding / Receivables Report -- All unpaid and partially paid bills with ageing buckets (0-30, 31-60, 61-90, 90+ days). Separate views for patient receivables and insurance receivables.

Advance Deposit Report -- Deposits collected, utilized, and balance across all patients. Flags unutilized deposits approaching the lapse period.

Discount & Concession Reports

Discount Report -- Every discount given, with the authorizing user, reason, and percentage/amount. Summary by discount type (senior citizen, staff, institutional, emergency).

Concession Analysis -- Total revenue impact of discounts as a percentage of gross billing. Compare across departments and doctors to identify patterns.

Unauthorized Discount Audit -- Discounts given without proper authorization (e.g., cashier applying a discount above their authorized limit). These require retrospective approval.

Write-off Report -- Bad debts written off with approval details. Feeds into the GL for accounting treatment.

Tax & Compliance Reports

GST Report -- Tax collected by HSN/SAC code, tax rate (5%, 12%, 18%), and service category. Generates data for GSTR-1 (outward supplies) filing.

Exempt Services Report -- Healthcare services exempt from GST, separated for audit clarity.

TDS Deduction Report -- Tax deducted at source by insurance companies and TPAs, with PAN and TDS certificate tracking.

Revenue Stamp Duty -- For jurisdictions requiring revenue stamps on receipts above a threshold.

Charity / Free Treatment Report -- Statutory reporting for free and subsidized treatment (required for charitable hospital tax exemptions under Section 12A).

Scheduled & Custom Reports

Auto-Scheduling -- Any report can be scheduled for automatic generation and email delivery. Configure frequency (daily at 8 AM, weekly on Monday, monthly on 1st), recipients, and format (Excel, PDF, or both).

Custom Report Builder -- For ad-hoc analysis, the report builder lets you select dimensions (date, department, doctor, payer, service), measures (amount, count, average), and filters. Save custom reports as templates for reuse.

Dashboard Integration -- Key financial KPIs from billing reports feed into the management dashboard: daily revenue, collection ratio, outstanding trend, and payer-mix pie chart.

Export & Integration -- All reports export to Excel (XLSX) for further analysis. For ERP integration, scheduled reports can be exported as CSV to a configured SFTP location or via API webhook.

Notes

Tip

Schedule the Daily Revenue Summary and Outstanding Report to be emailed every morning. This gives management a financial pulse check before the day begins.

Clinic tip

For solo clinics, the Daily Collection Summary is your most important report. Review it every evening during shift close to catch any discrepancies immediately.
