The formulary is the single source of truth for every medication available in your hospital. It drives prescriber pick-lists, enforces therapeutic substitution, feeds the billing engine with correct MRP/GST, and enables pharmacy to manage procurement efficiently. Bio-Ecko lets Pharmacy & Therapeutics (P&T) committees curate the formulary collaboratively while enforcing approval workflows for additions, deletions, and therapeutic interchanges.
Drug Master Catalogue
Each formulary entry captures the generic name, brand name(s), ATC code, route, strength, dosage form, manufacturer, HSN code, schedule (H / H1 / X), and therapeutic category. You can import the initial catalogue via CSV/Excel or pull from a central drug database. Every entry is versioned -- changes log who edited what and when, giving the P&T committee a full audit trail.
Drug entries also store default dispensing instructions, look-alike/sound-alike (LASA) flags, high-alert medication tags, and maximum dose limits. These metadata fields directly power prescribing safety checks across the ERP.
Therapeutic Substitution & Equivalents
When a prescribed brand is out of stock, the system suggests therapeutically equivalent alternatives ranked by hospital preference. Substitution rules are configurable per drug class -- for example, you might allow automatic generic substitution for non-critical oral medications but require physician approval for oncology agents.
Pharmacists can flag substitutions during dispensing, and the prescriber receives a notification. This keeps patient care uninterrupted while maintaining formulary discipline.
P&T Committee Workflow
New drug requests follow a structured approval pipeline: the requesting physician submits clinical evidence, cost analysis, and therapeutic justification. The P&T secretary reviews documentation, assigns the request to committee members for evaluation, and schedules it for the next meeting. After committee vote, approved drugs are added to the formulary automatically, and rejection reasons are recorded.
Bio-Ecko tracks request status (Submitted, Under Review, Approved, Rejected) and generates monthly P&T dashboards showing approval rates, top requested categories, and formulary growth trends.
Pricing, Tax & Procurement Integration
Each formulary entry stores MRP, purchase price, margin percentage, applicable GST rate, and any negotiated contract pricing. When a new purchase order is raised, the procurement module pulls the latest negotiated rate from the formulary. Billing uses MRP and discount schedules to generate accurate patient invoices.
Price change management is built-in -- when a supplier revises a rate, the pharmacist updates the formulary entry and all subsequent POs and bills automatically reflect the new price. Historical pricing is retained for audit and cost analysis.
Formulary Compliance & Analytics
The compliance dashboard tracks prescribing adherence to the formulary: what percentage of prescriptions use formulary drugs vs non-formulary overrides. Non-formulary usage triggers alerts and requires justification from the prescriber.
Reports include: top 50 drugs by volume and cost, therapeutic category spend trends, ABC/VED analysis for inventory prioritisation, expiry risk reports, and LASA audit summaries. These help management negotiate better contracts and identify opportunities to switch to cost-effective alternatives.
Notes
Bulk Import
Use the CSV import wizard (Settings > Formulary > Import) to load your initial drug master. Map columns once and the system remembers the template for future updates.
LASA Alerts
Enable LASA (Look-Alike Sound-Alike) flags for at-risk drug pairs. Prescribers and pharmacists will see a prominent warning banner when selecting or dispensing these medications.
Auto-Reorder
Link formulary entries to reorder levels in Inventory. When stock drops below the minimum, the system auto-generates an indent for procurement review.
