Bed management is the operational nerve centre of any inpatient facility. Bio-Ecko provides a real-time visual bed map showing every bed across all wards and floors, colour-coded by status. The system handles bed requests, assignments, transfers, and discharges while coordinating with housekeeping for turnaround cleaning and with billing for automatic room charge calculations.
Visual Bed Map
The bed map shows a floor-plan view of all beds in your facility with intuitive colour coding:
- Green: Available and clean, ready for admission
- Red: Occupied with patient details on hover (name, UHID, admission date, expected discharge)
- Yellow: Reserved or blocked (pre-booked for scheduled admissions or maintenance)
- Blue: Discharge initiated, pending housekeeping
- Grey: Under maintenance or out of service
Click any bed to see full details including the current patient, attending doctor, admission diagnosis, length of stay, and pending orders. The map supports multiple view modes: ward-wise, floor-wise, or building-wise for multi-block hospitals.
Bed Configuration & Ward Setup
Configure your facility layout from Settings > Departments & Wards:
- Define wards with bed counts and floor assignments
- Assign bed numbers with customisable naming conventions (e.g., GEN-001, ICU-A1, PVT-201)
- Set bed type: General, Semi-Private, Private, Deluxe, Suite, ICU, NICU, PICU, HDU, Isolation
- Configure daily room charges per bed type (can vary by ward)
- Link beds to specific wards, floors, and buildings
- Set gender restrictions per ward (Male, Female, Mixed)
- Define isolation room capabilities (negative pressure, positive pressure, standard)
Bed types drive billing automatically -- when a patient is assigned to a private room, the billing engine picks up the correct daily rate.
Bed Assignment & Transfer Workflow
When a new admission is initiated (from OPD, Emergency, or direct), the admitting team selects a bed from the available inventory. The system shows only beds matching the requested type and ward preference, sorted by availability.
Bed transfers follow a structured workflow: the nurse initiates a transfer request specifying the reason (clinical upgrade to ICU, step-down from ICU, patient request, isolation requirement). The receiving ward acknowledges, housekeeping is notified for cleaning the vacated bed, and all modules (nursing, billing, pharmacy ward stock) update to reflect the new location. Transfer history is maintained for length-of-stay analytics.
Housekeeping Integration
When a patient is discharged, the bed status automatically changes to 'Pending Cleaning'. The housekeeping team receives a task notification on their mobile app or workstation. The cleaner marks the task as started, then completed, and optionally logs cleaning supplies used.
The bed status changes to 'Available' only after housekeeping confirms completion. Turnaround time is tracked (discharge-to-clean-to-available) and displayed on management dashboards. For infection cases, enhanced cleaning protocols are automatically triggered with a checklist.
Capacity Planning & Analytics
The bed management dashboard provides real-time and historical analytics:
- Current occupancy rate by ward, floor, and bed type
- Average length of stay (ALOS) by department and diagnosis
- Bed turnover rate and turnaround time
- Peak occupancy patterns (by day of week, time of day)
- Predicted bed availability based on expected discharges
- Denied admission tracking (patients turned away due to no beds)
These metrics help management plan capacity expansions, optimise ward configurations, and reduce denied admissions. The predicted availability feature uses expected discharge dates to forecast when beds will free up, helping the admission team plan scheduled cases.
Notes
Quick Transfer
For small clinics with a single ward, bed transfers are a simple drag-and-drop on the bed map. No approval workflow needed -- just drag the patient chip to the new bed.
Isolation Tracking
Tag isolation beds with the infection type (airborne, droplet, contact). The system will warn staff when entering isolation zones and track PPE compliance.
Discharge Planning
Encourage doctors to update expected discharge dates daily. This powers the bed availability forecast and helps the admission team plan upcoming scheduled cases.
