Overview

The Visitor Management module controls and tracks visitor access to hospital wards and restricted areas. It manages visitor passes, enforces visiting hour policies, tracks visitor count per patient, and maintains a visitor log for security and infection control purposes. Access at /dashboard/visitors.

Visitor Registration

When a visitor arrives:

  1. Check-In -- Receptionist or kiosk registers the visitor with name, phone, relationship to patient, photo (optional), and ID proof
  2. Patient Lookup -- Link the visitor to a specific admitted patient
  3. Policy Check -- System validates visiting hours, maximum visitors per patient, and any patient-specific restrictions (isolation, ICU limits)
  4. Pass Generation -- Visitor pass printed with visitor name, patient name, ward/bed, valid time window, and a barcode for tracking
  5. Check-Out -- Visitor returns the pass at departure; system logs the exit time

Visiting Policies

The Policies page at /dashboard/visitors/policies configures visiting rules:

  • Visiting Hours -- Define allowed visiting hours per ward type (general, ICU, NICU, isolation)
  • Maximum Visitors -- Set simultaneous and daily visitor limits per patient
  • Restricted Wards -- Block visitor access to specific wards during outbreaks or emergencies
  • Age Restrictions -- Minimum visitor age (e.g., no children under 12 in ICU)
  • Special Passes -- Attendant passes for overnight stays (one per patient)
  • Holiday/Event Overrides -- Extend or restrict visiting hours for holidays and special events

Security & Tracking

Security features include:

  • Real-time count of visitors currently in each ward
  • Overstay alerts when a visitor exceeds their pass duration
  • Visitor log with complete history searchable by date, patient, or visitor name
  • Blocked visitor list for individuals denied access
  • Integration with the emergency module for rapid visitor evacuation count

Notes

Tip

Place a visitor kiosk at the main entrance for self-service check-in during peak visiting hours. This reduces receptionist workload.

Warning

During infection outbreaks, use the restricted wards feature to immediately limit visitor access to affected areas.
