Overview

Inventory Stores represent the physical storage locations within the hospital. Each store maintains independent stock levels, and items can be transferred between stores as needed.

Store Setup

Define stores in the system:

  • Navigate to Procurement > Stores > Add Store.
  • Enter store name, location, and responsible person.
  • Store types: Main Store, Pharmacy Store, Lab Store, OT Store, Emergency Store, Ward Sub-Store.
  • Each store has its own stock ledger and reorder parameters.
  • Configure access permissions: which staff can issue from which store.

Stock Operations

Day-to-day store operations:

  • Stock Receipt: items are added via GRN from vendors.
  • Stock Issue: departments request items from the store via indent.
  • Stock Transfer: move items between stores (e.g., Main Store to OT Store).
  • Stock Adjustment: correct discrepancies found during physical verification.
  • Stock Return: return unused items to the store from departments.
  • All operations update the stock ledger in real-time.

Stock Reports

Store-level reports:

  • Current Stock: item-wise quantity and value per store.
  • Stock Movement: receipt, issue, transfer, and adjustment history.
  • Reorder Report: items below minimum stock level.
  • Expiry Report: items approaching or past expiry date.
  • Dead Stock: items with no movement in the last 90/180 days.
  • Consumption Pattern: usage trend by item and department.

Notes

Tip

Conduct monthly physical stock verification for high-value items and quarterly for all items. Reconcile discrepancies promptly using the stock adjustment feature.
