Overview

The Employee Self-Service (ESS) portal gives all staff members access to their personal HR information, payslips, leave balances, shift schedules, and training records without requiring HR department involvement. Access at /dashboard/ess.

Available Features

Every staff member can:

  • View Profile -- Personal details, contact information, department, role, and reporting structure
  • Payslips -- Download monthly payslips and annual tax statements
  • Leave Management -- View leave balance, apply for leave, check leave approval status, and cancel pending requests
  • Attendance -- View attendance records, regularize missed punches, and check working hours
  • Shift Schedule -- View assigned shifts, swap requests, and on-call duties
  • Training -- View assigned courses, completed certificates, and CME credits
  • Documents -- Access employment letters, ID cards, and HR policies
  • Credentials -- View professional license status and renewal reminders (for clinical staff)

Leave Application Flow

To apply for leave:

  1. Navigate to Self-Service > Leave Management
  2. Select leave type (casual, earned, sick, compensatory, etc.)
  3. Choose start and end dates
  4. Provide reason (optional for casual leave, required for medical leave)
  5. Submit -- the request is routed to the reporting manager for approval
  6. Track status: Pending, Approved, Rejected, Cancelled

The system enforces leave policy rules (minimum notice period, maximum consecutive days, leave balance checks) before submission.

Notes

Tip

Encourage all staff to use ESS for leave applications instead of paper forms. This creates an auditable trail and reduces HR processing time.

ESS is available to all roles. Clinical and non-clinical staff both access the same portal with role-appropriate features.
