Overview
The Staff Management module maintains comprehensive employee records including personal details, qualifications, credentials, attendance, leave management, and performance tracking. It serves as the HR backbone of Bio Ecko.
Employee Records
Create and maintain staff profiles:
- Personal: Name, photo, date of birth, address, emergency contact, blood group.
- Employment: Employee ID, designation, department, reporting to, date of joining, employment type (permanent, contract, visiting, consultant).
- Qualifications: Degrees, specialisations, medical council registration number and validity.
- Documents: Upload Aadhaar, PAN, medical council certificate, experience letters.
- Bank details: For salary processing.
- Contract terms: Salary, allowances, consultation fee share (for visiting doctors).
Attendance & Shift Management
Track staff attendance:
- Biometric integration: Import attendance from fingerprint, face recognition, or card-based systems.
- Shift management: Define shift patterns (Morning, Evening, Night, General), assign staff to shifts, and handle rotations.
- Overtime calculation: Auto-calculate OT hours based on shift and attendance.
- Late arrival/early departure tracking.
- Attendance dashboard: Real-time view of who's present, on leave, or absent.
- Attendance data feeds directly into payroll processing.
Leave Management
Self-service leave management:
- Leave types: Casual Leave, Sick Leave, Earned Leave, Maternity/Paternity, Compensatory Off, Leave Without Pay.
- Leave balance tracking with annual credit, carry-forward rules, and encashment policy.
- Leave application: Staff apply online; managers approve/reject from their dashboard.
- Leave calendar: View team availability to prevent scheduling conflicts.
- Auto-deduction: Approved leaves auto-reflect in attendance and payroll.
Credential Verification
For healthcare staff, credential management is critical:
- Medical council registration: Number, state council, validity date, renewal reminders.
- Drug licence (for pharmacists): Licence number, validity.
- Nursing council registration.
- Certifications: BLS/ACLS, specialty certifications with expiry tracking.
- Privileging: Define clinical privileges for each doctor (procedures they're authorised to perform).
- Auto-alerts 60 days before any credential expires.
Organization Structure
Define the hierarchical structure of your hospital:

- Create departments, sub-departments, and reporting hierarchies.

Attendance Integration
Integrate external biometric and attendance devices:
- Navigate to HR > Attendance Integration to manage devices.

- Configure device IP address, location mapping, and sync frequency.
- Automatic data pull: attendance records are synced at the configured interval.
- Manual import option for CSV/Excel upload from third-party systems.
- Error handling: unmatched punches are flagged for HR review.
- Device health monitoring with active/inactive status.
Leave Balances
Track and manage employee leave balances across all leave types:
- Dashboard shows each employee's balance for all configured leave types.
- Opening balance, credited, consumed, and closing balance columns.
- Annual credit rules auto-apply at the start of the leave year.
- Carry-forward and lapse rules applied per leave type configuration.
- Leave encashment eligibility computed from earned leave balance.
- Filter by department, designation, or individual employee.
Roster Planning & Cycles
Plan staff schedules across shifts and departments:
- Roster Planning: Create weekly/monthly shift assignments for each staff member.
- Drag-and-drop interface for shift assignment on a calendar grid.

- Integration with emergency module -- on-call doctor is auto-suggested for incoming cases.
- On-call compensation tracking linked to payroll.
HR Reports & Analytics
Comprehensive HR reporting:
- Reports: Headcount summary, attrition report, attendance register, leave utilization, overtime analysis, credential expiry, and recruitment pipeline.
- Analytics: Employee turnover rate, average tenure, department-wise FTE, absenteeism trends, overtime patterns, and gender/age distribution.
- Configurable date ranges and department filters.
- Export all reports as PDF or Excel.
- Scheduled report delivery via email.
Notes
Warning
Ensure all doctors' medical council registrations are uploaded and validity dates are set. Bio Ecko can block prescription generation if a doctor's registration has expired.
Clinic tip
Solo doctors need only their own profile and their receptionist/staff. Skip the full HR setup -- just add basic employee records.
Tip
Set up roster cycles before go-live. Once the rotation pattern is defined, Bio Ecko auto-generates monthly rosters, saving hours of manual scheduling.
