Overview

Salary Structure defines the compensation components for each employee -- earnings (Basic, HRA, allowances) and deductions (PF, ESI, TDS). Structures are typically defined as templates by grade and assigned to individual employees.

Defining Structures

Navigate to Payroll > Salary Structure:

  • Create templates by grade: Doctor, Nurse, Technician, Admin, Housekeeping.
  • Earnings: Basic Pay, HRA, Dearness Allowance, Special Allowance, Shift Allowance, OT Rate.
  • Deductions: PF (Employee), ESI, Professional Tax, TDS, Loan EMI, Canteen.
  • Employer contributions: PF (Employer), ESI (Employer), Gratuity provision.
  • Components can be fixed amounts or formula-based (e.g., HRA = 40% of Basic).

Assignment & Revision

Assign salary structures to employees:

  • Select employee and assign a salary template.
  • Override individual components if the employee's terms differ from the template.
  • Effective date: changes take effect from a specified date.
  • Revision history: full audit trail of all salary changes.
  • Bulk assignment: apply a template to multiple employees of the same grade.
  • Annual increment processing: apply percentage or fixed increases to Basic.

Notes

Tip

Use templates for common grades and override only exceptions. This makes annual increment processing and compliance calculations much simpler.
